Description


The Senior Property Manager leads the property’s management and administration efforts to ensure the property runs smoothly. The typical scope of responsibility includes a combination of hands-on involvement and delegation of authority to team members in tenant relations, maintenance, financial reporting, property administration, contract performance, property appearance, property events, and community relations.

This position has oversight of Desert Business Park, a fourteen building, 398,000SF premier Industrial and office park located within the Coachella Valley. Over the next few years, Desert Business Park will add additional square feet that will increase the portfolio size to 600,000SF.

 

ESSENTIAL JOB FUNCTIONS:


Operations

  • Maintain outstanding property appearance by keeping asset to Class A standards.
  • Provide support to teams with day-to-day property management issues.
  • Manage annual bid process for contract services, including generating requests for proposals, bid analysis, and vendor selection to ensure best pricing and service level performance.
  • Coordinate implementation of policies and procedures and oversight of contract services.
  • Actively engage and lead the overall development of the property’s marketing plans.
  • Participate in tenant improvement and capital improvement projects.
  • Oversee new tenant move-ins, existing tenant relocations and expansions, as well as tenant move-outs.

 

Tenant Relations

  • Responsible for developing and maintaining positive tenant relations by providing consistently responsive quality services.
  • Oversee tenant issues, problems, and disputes.

 

Administration

  • Supervise on-site management employees to ensure optimum performance. Train and develop staff, provide coaching/counseling, conduct appraisals, and make hiring decisions.
  • Establish guidelines for the on-site management employees and contract building staff to ensure that the Owner's objectives are understood and implemented pursuant to the annual budget and business plan.
  • Establish and follow procedures for processing and controlling work.
  • Provide information or other assistance to counsel on legal matters involving the Property.
  • Report and track general liability and property insurance claims for the Property.
  • Approve emergency procedures and disaster recovery plans.

 

Financial Reporting

  • Prepare and approve annual budgets, financial reporting, forecasts, re-forecasts, management plans, monthly performance reports, and variance reports.
  • Review of tenant billings, collection of rent and sundry charges. Ensure that overdue receivables are kept below established limits.
  • Responsible for operating expense estimates and reconciliations and respond to tenant questions regarding same.
  • Ensure all invoices from vendors and contractors are coded and processed in a timely manner.
  • Review and approve monthly accruals.

 

Leasing and Marketing

  • Foster positive real estate broker relations with regular email updates, tour and events.
  • Maintain working knowledge of marketplace and competing properties.
  • Responsible for ensuring vacant space is prepared for showing to prospective tenants.
  • Ensure the development and execution of effective marketing activities for the Property.

 

EXPERIENCE AND EDUCATION:

  • 10+ Years in Commercial and/or Residential Office Property Management field required.
  • Experience managing industrial buildings preferred.
  • Bachelor’s Degree preferred.

 

CERTIFICATES, LICENSES, REGISTRATIONS:

  • IREM Certified Property Manager (CPM) preferred.
  • BOMA Real Property Administrator (RPA) preferred.
  • State specific Real Estate Salesperson or Broker Associate License required.
  • CAM license preferred.
  • Experience in YARDI accounting software preferred.
