LEASE ADMINISTRATOR
MANHATTAN, NY
Real Estate owner seeks Lease Administrator. Portfolio is primarily commercial buildings with some individual Rent Stabilized apartments. Excellent communication skills, both verbal and written, are important as this position requires frequent contact with tenants as well as in-house Property Managers, Leasing Agents and Cash Administrators. The right candidate must be very detail oriented, able to multi-task, a team player, able to process high volumes of data and have the ability to excel in a fast-paced, small office in a family environment.
Lease Administration
- Prepare lease documents – new leases and amendments
- Review and track letters of intent; compare against drafted lease documents for accuracy
- Review and abstract all lease documents
- Calculate rent and tenant’s percentage share of escalations
- Prepare and send Commencement Date letters to tenants
- Prepare Move-in/Move-Out forms for completion by building managers
- Manage and track security deposit/letter of credit processing
- Review Skyline input of new transactions
- Tenant Insurance – track and review certificates.
- Prepare and distribute monthly vacancy, rent roll and lease expiration reports
- Manage Rent Stabilized Apartment information
- Prepare and send Residential Lease Renewals
- Annual Window Guard notices for Residential
- Assist on special projects and assignments
- Prepares and distributes critical date reports; maintains tickler system for tracking important dates and tasks.
- Prepare real estate tax, operating expense and other escalation billings
Accounts Receivable
- Review Tenant charges prior to monthly billing
- Prepare monthly rent statements for all tenants
- Enter all billing adjustments
- Enter all billback charges
- Receive, deposit and post Tenant payments
- Check bank on-line for wire transfers
- Prepare delinquency reports
- Tenant collections/late fees
Requirements:
Bachelor’s Degree and a minimum of 3 years office/commercial lease administration experience or equivalent.
Office/Commercial Real Estate experience is a MUST
Experience in lease preparation and abstraction is a MUST
Accounts Receivable experience are a MUST
Excellent communication skills and savvy administrative skills are a MUST
Property accounting experience is a plus
Skyline experience is a plus
Strong IT competency is a plus
