POSITION SUMMARY:

Responsible for the evaluating, designing, and implementing process and system related improvements affecting asset management, including the coordination of activities and information with other functions within the company. Provide training and documentation to affected parties.  Monitor and evaluate the effectiveness of workflow and other activities and adjust as needed.  Ensure that risk management and controls, business continuity, efficiency and effectiveness are appropriately considered in all activities and recommendations

Responsible for timely occupancy, expiration and leasing analysis for the executive team not addressed in standard, compliance-based reporting. Prepare recurring, predictive indicators of company metrics for use in presentations, investor relations and other messaging.

Proficiency in Yardi software systems required.

ESSENTIAL FUNCTIONS:

  • Provide leadership and support for the continuous improvement of systems and processes surrounding the lease life cycle.
  • Ensure that access, roles, and effectiveness of system workflows are reviewed and maintained for changes in companywide portfolio and personnel. 
  • Primarily responsible for business aspects of all system upgrades, testing of enhancements and reporting.
  • Supervise, support, and develop the Leasing Coordination Team.
  • Ensure the timely preparation and distribution of pipeline and other routine leasing analysis.
  • Effectively manage the leasing process supporting the company’s reporting and forecasting, efficient deal workflow, and appropriate approvals of lease documents.
  • Ensure that all constituents have early insight and input into the lease process. 
  • Support the timely preparation of lease documents, coordinating with Legal and Accounting as needed for non-standard terms.
  • Coordinate with other departments (Design and Construction, Lease Administration, Property Management, etc.) involved in the leasing process to enhance or confirm participation in workflow.
  • Work closely with IT Applications, Finance, Accounting and Asset Management to support and enhance robust asset management processes, tools, and reporting.
  • Support executive decision-making regarding financial results, leasing metrics, leasing statistics, occupancy and lease expiration analysis and other complex analysis, Provide meaningful, accurate information for use in internal and external presentations.
  • Review presentation materials to ensure messaging is accurate.
  • Coordinate closely with departments ensuring the integrity of source data.
  • Evaluate and maintain threshold and approval policies for leasing workflow.
  • Provide direction for enhancements and perform testing of changes as needed.

SECONDARY RESPONSIBILITIES:

  • Support of other departmental initiatives.
  • Perform other job-related tasks as assigned.

QUALIFICATIONS:

Education - Bachelor Degree in Finance, Accounting, Economics or other related field. MBA/Master Degree preferred.

Further Training - Understanding of REITs and Real estate finance and accounting preferred.

Professional Experience - 

  • Minimum of 10 years of relevant experience.
  • Yardi systems experience required.
  • Specific experience in the real estate industry preferred.

Computer Skills - 

  • PC proficiency including Microsoft Office applications (Word, Excel, PowerPoint, Outlook, etc.) and ability to learn company specific software.
  • Ability to implement and adapt to new or changing software programs.
  • Ability to provide well designed business requirements and testing support for technology enhancements.

Mobility - Occasional travel to portfolio locations.
