Property Manager

Responsible for managing a Class A multi-building, commercial office property located in Miami in an efficient and focused value enhancing manner that is consistent with the overall strategic plan for the property.  Accountable for all business, financial, and management aspects of the assigned property, including preparing, implementing, and adhering to the approved strategic plan and annual budget, developing and maintaining strong working relationships with tenants or occupants, and supervising the day-to-day activities of the engineering, maintenance, and other building staff and contract services.

 
Principal Responsibilities

  • Assists in the development of and implements the approved strategic plan for the property. Has primary responsibility for the day-to-day operation of the property to ensure that all site activities are in compliance with established policies and procedures and the management agreement, and are consistent with the owner’s overall objectives.
  • Prepares an annual budget, monthly cash flow projections and monthly financial variance reports, as well as a weekly operations summary. Ensures adherence to the approved budget with primary responsibility for variance reporting.
  • Conducts daily site inspections in compliance with established standard operating policies and procedures.
  • Monitors and enforces the terms of all lease agreements, including the billing and collection of rents and other tenant charges. Responsibilities include all aspects of lease administration including critical date master scheduling, lease notification, and renewal notices.
  • Bears primary responsibility for the maintenance of all site-specific documentation including but not limited to a standard work/service order system and emergency operations manual.
  • Has primary responsibility for controlling the procurement of third party services and expenditure processing.
  • Reviews real estate tax assessments, and filing required municipal or other authority reports.
  • Ensures regulatory compliance and effective management of risk and liability for both the company and client.
  • Coordinates and works closely with leasing brokers to manage the appearance of vacant spaces, quickly process commissions, efficiently process encumbrances, all of which is focused on maximizing occupancy and cash flow.
  • Establishes and maintains open, positive relationships at all times with tenants and occupants ensuring that all services and needs are met and in compliance with leases and agreements. Conducts regular monthly visits, inspections and surveys towards developing and implementing  an effective tenant retention program.
  • Oversees completion of capital plan and responsible for project management,as prescribed by ownership.
  • Implements and oversees tenant  improvements consistent with local codes and in compliance with leases and work letter agreements to ensure owner and tenant obligations are met for timely completion, occupancy, and rent commencement.
  • Hires, trains, and supervises (directly and indirectly) a qualified team of building, administrative, maintenance, engineering, and maintenance staff for the property to promote an efficient and cost-effective operation.
  • Responsible for employee administration, including performance measurement, setting goals, and motivating subordinates to meet objectives.
  • Participates in the negotiation of service contracts with outside vendors to achieve the highest levels of performance in compliance with the company’s values, standards, and guidelines for business conduct.
  • Supports and provides leadership to achieve the company’s and client expectations for service and business objectives. Consistently upholds and applies the company’s policies regarding appropriate professional behavior to ensure that the values of the firm are exhibited by the actions of the staff.
  • Performs other related duties as requested by superiors.

 Minimum Qualifications

  • Minimum of a four-year college degree with CPM/RPA designation preferred.
  • A minimum of seven-years working in commercial real estate property management.
  • Hands-on experience with capital and tenant improvement construction projects preferred; ability to plan, organize, and coordinate multiple projects, and the ability to read and understand construction specifications and blueprints.

Required Skills

  • Must have knowledge and experience with financial accounting in commercial real estate, and budgeting.
  • Strong literacy in MS Word and Excel.
  • Proficiency in Yardi Voyager preferred.
  • Highly organized and skilled with time management.
  • Strong customer service/tenant relation skills.
  • Some knowledge of HVAC, mechanical, electrical, plumbing, etc.
  • Excellent communications skills (written reports/analysis, oral presentation, and persistence when needed).

Work Environment

  • This job operates within a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets.
