JOB SUMMARY
As key member of a facility management team, provides day-to-day business operations support for finance, safety, customer service, compliance, contracts and vendor management. Responsible for purchase order, invoice and billing processes, contract administration, forecasting, as well as helping to deliver world class soft services to our client.
Processes invoices and works with vendors to insure timely, accurate invoicing and invoice resolution as needed. Properly codes and allocates expenses in an appropriate system such as PeopleSoft.
Understands all vendor contracts and assures that vendors for contracted services perform to specifications and schedules. Builds relationships with vendors to ensure successful delivery of services.
Raises purchase orders. Expedites PO's through approval process.
Maintains site level maintenance budget.
Identifies potential vendors and obtains pricing for goods and services.
Partnering with on-site team, helps create scopes of work and contract documents.
Receives work orders, distributes to correct vendor or technician and updates records.
Develops presentations and reports to communicate important metrics, coordinates team safety training and updates trackers, rosters and other documentation.
Helps onboard new teammates.
Other duties as assigned.

High school diploma or general education degree (GED) with a minimum of four years of related experience and/or training.
Previous supervisory experience required.

Excellent written and verbal communication skills. Strong organizational and analytical skills. Ability to provide efficient, timely, reliable and courteous service to customers. Ability to effectively present information.
Requires knowledge of financial terms and principles. Ability to calculate intermediate figures such as percentages, discounts, and/or commissions. Conducts basic financial analysis.
Ability to comprehend, analyze, and interpret documents. Ability to solve problems involving several options in situations. Requires intermediate analytical and quantitative skills.
Proficient in Microsoft Office Suite products such as Word, Excel, Outlook, etc.
Knowledge of Financial software systems (e.g. PeopleSoft, MTA, VAS and I-Track).
Decisions made with thorough knowledge of procedures and company policies to achieve set results and deadlines. Responsible for setting own project deadlines. Errors in judgment may cause short-term impact to co-workers and supervisor.
