JOB SUMMARY

The purpose of this position is to provide program support to a client's Program Management team complex project documentation preparation; escalation point for project commitment, invoice & pay application processing; financial reconciliations; project reporting; 'administrator' role for project technology tools; and project delivery team or work group training resource.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Support program and project services with day-to-day deliverables identified by the Client. Enters project information data (i.e. project status updates, schedule updates, cash flow forecasts) and project documentation into project management technology tools (software applications, web-based tools, job cost accounting tools).
  • Support Change Management process by initiating change requests, tracking updates, and following up on open requests. Manage Product Documentation in client's database by uploading new documents or revisions and deleting/archiving out of date documents according to client's standards. Oversees and manages project documentation and coordinates documentation revisions and distributions.
  • Prepares standard project status reports for project delivery team or work group, client and management. Reports typically include: status update, budget, schedule and risk.
  • Develop associated meeting materials including presentation slides, meeting agendas, and other supporting materials. Create spreadsheets, reports, and documentation based on content and direction provided the Client
  • Compile program status updates and input into Client's spreadsheets. Conduct research and analysis into the nature, effect and results of risks or program issues. Consult with internal teams to ensure a complete understanding of their needs and concerns
  • Coordinates and schedules meeting and communication plan(s) regarding projects among team and/or client, issues actions and requests, and follows up with stakeholders (as needed).
  • Acts as a point of contact for escalated matters among the team.
  • Other duties may be assigned.


SUPERVISORY RESPONSIBILITIES

No formal supervisory responsibilities in this position. May provide informal assistance such as technical guidance, and/or training to coworkers.

EDUCATION and EXPERIENCE

  • High School diploma or General Education Degree (GED) required
  • 4+ years of experience in a successful project support role
  • 4+ years of well developed verbal, written and listening skills
  • Exceptional analytical and conceptual thinking skills.
  • The ability to influence stakeholders and work closely with them to determine acceptable solutions
  • Effectively communicates insights and activities to Client and cross-functional team members
  • Excellent documentation skills
  • Experience creating detailed reports and giving presentations.
  • Experience monitoring multiple deliverables, prioritizing initiatives based on business needs and requirements
  • A track record of following through on commitments
  • Excellent planning, organizational, and time management skills
  • A history of leading and supporting successful projects
  • Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding. Ability to write routine reports and correspondence
  • Ability to effectively present information to an internal department and/or large groups of employees.


PREFERRED QUALIFICATIONS

  • Associate's Degree (AA/AS), College Diploma in technical field
  • Proficient technical writing skills


CERTIFICATES and/or LICENSES

PMP (US and/or Canada) and LEED AP preferred.

COMMUNICATION SKILLS

Excellent written and verbal communication skills. Strong organizational and analytical skills. Ability to provide efficient, timely, reliable and courteous service to customers. Ability to effectively present information.

FINANCIAL KNOWLEDGE

Requires knowledge of financial terms and principles. Ability to calculate intermediate figures such as percentages, discounts, and/or commissions. Conducts basic financial analysis.

REASONING ABILITY

Ability to understand and carry out general instructions in standard situations. Ability to solve problems in standard situations. Requires intermediate analytical and quantitative skills.

OTHER SKILLS and ABILITIES

Intermediate skills with Microsoft Office Suite. Ability to read and understand architectural drawings. Working knowledge in MS Project is helpful. Knowledge of leases, contracts, and construction practices preferred.

Decisions made with general understanding of procedures and company policies to achieve set results and deadlines. Errors in judgment may cause short-term impact to co-workers and supervisor.

CBRE carefully considers multiple factors to determine compensation, including a candidate's education, training, and experience. The minimum salary for the Program Coordinator (Data Center) - Associate Project Manager position is $102,000 annually and the maximum salary for the Program Coordinator (Data Center) - Associate Project Manager position is $120,000 annually. The compensation that is offered to a successful candidate will depend on the candidate's skills, qualifications, and experience.
